Bookkeeper – NAI Nashville Stanton Group

This role provides direct support to the Property Accountant team.  The Bookkeeper is responsible for assisting in the timely and accurate input, processing, and reporting of the accounting for managed real estate assets, with an emphasis on Accounts Receivable and Accounts Payable.


1.     Receives, deposits, and assists with posting rent payments.

2.     Tracks delinquent rents, sends payment reminders and late notices for assigned properties.

3.     Maintains move-in/move-out checklists, lease renewal checklists, etc.

4.     Enters tenant charges and maintains tenant ledgers (lease renewals, reimbursements, workorders, additional rent and all tenant receivables).

5.     Processes weekly AP check run for assigned properties.

6.     Processes management fees for assigned properties.

7.     Processes tenant utility billbacks for assigned properties.

8.     Pulls and saves bank statements for Property Accountant.

9.     Updates and monitors workflow calendar for timely processing of accounting tasks.

10.  Performs accounting related tasks for special properties and projects as assigned.

11.  Assists in collections and default proceedings as needed.

12.  Assists with year-end duties for income tax preparation.

13.  Assists with year-end pass-through invoicing (emailing), entering charges to tenant ledgers and updating recurring charges as needed.

14.  Assists with preparation and mailing 1099’s.

Property Accountant – NAI Nashville Stanton Group

This role is responsible for the timely and accurate preparation of financial statements for managed properties as assigned. They will also be responsible for providing management and clients with financial information as requested.


1.     Prepares monthly, quarterly, and annual financial reports accurately and timely and delivers to Director of Accounting and Director of Property Management for review and approval.

2.     Makes any necessary journal entries throughout the month for assigned properties, including month end reclasses per Director of Property Management.

3.     Prepares monthly bank reconciliations for assigned properties for all cash accounts.

4.     Prepares balance sheet reconciliations monthly and researches any outstanding transactions for assigned properties.

5.     Reviews cash flow and online bank accounts daily, to maintain necessary funds for operating and capital expenditures and advises Director of Accounting accordingly.

6.     Analyzes monthly financial statements for budget and operating variances and prepares variance report for senior management. 

7.     Ensures that all property and tenant information is up-to-date and cross-referenced against the lease agreement.

8.     Ensures accuracy of the general ledger for assigned properties.

9.     Reviews monthly management fee calculations to ensure accuracy for all properties.

10.  Processes A/P and cuts checks weekly for assigned properties.

11.  Performs collections on past due accounts and assists with default proceedings as needed.

12.  Posts Tenant payments, charges, and maintains tenant ledgers (lease renewals, reimbursements).

13.  Monitors, updates, and adheres to deadlines throughout the accounting cycle.

14.  Responsible for setting up new bank accounts or transferring of current accounts.

15.  Assists in preparing annual operating budget for assigned properties, including cash projections.

16.  Works with various CPAs as needed throughout the year and at year-end for property income tax reporting.

17.  Calculates and bills annual CAM reconciliations (including billings and charge entries) for assigned properties.

18.  Responsible for monitoring and paying estimated F & E payments and annual property tax expenses for assigned properties.

19.  Prepares information for annual property tax appeals and confers with Director of Accounting.

  • Advanced knowledge of financial terms and principles; Adept at analyzing financial reports and monitoring/controlling expenses
  • Effectively understand and oversee financial accounting, budgeting and reporting by identifying midyear trends and reforecasting to meet the financial goals and expense management for the assigned area 
  • Ability to calculate and review complex financial reports prepared by others and to make recommendations to executives that impact the line of business
  • Advanced skills with Microsoft Office Suite; High level of business acumen; Excellent communication skills (written and verbal)
